Visibility controls who can open a record; crawl controls whether a public record is eligible for search-engine indexing.
CMS Max uses Public/Unlisted, Password Protected, Draft, and Logged In Users Only visibility states across supported content types.
The four visibility states
| Setting | Who can open it | Common use |
|---|---|---|
| Public/Unlisted | Anyone with the URL | Published or link-accessible content. Search indexing also depends on crawl and discovery. |
| Password Protected | Visitors with the page password | Shared review or limited-audience content that does not require a user account. |
| Draft | Not publicly available | Work in progress or retired content that should not be reachable. |
| Logged In Users Only | Authenticated site users | Customer, member, or account-only content where the Users capability applies. |
Publishing checklist
- Choose the visibility state for the intended audience.
- For Public/Unlisted content, enable crawl only when search engines should index it.
- Set publication dates when scheduling is required and test the site timezone.
- Check menus, internal links, sitemaps, related content, and search behavior.
- Test as a signed-out visitor, an authorized user, and an unauthorized user when applicable.
