Rule of thumb: If your customer is at a home address and the package is under a pound, USPS will almost always be the most cost-effective option. For heavier items or time-critical shipments to commercial addresses, compare UPS and FedEx.

Why is my UPS or FedEx bill higher than the quoted rate?

UPS and FedEx add surcharges on top of the base rate. The two most common ones your clients will encounter are:

Residential delivery surcharge

UPS and FedEx add a residential carrier adjustment to every delivery sent to a home address. This fee is per package and is separate from the base shipping rate. USPS does not charge this fee.

Fuel surcharge

UPS and FedEx apply a variable fuel surcharge that changes weekly based on the U.S. Department of Energy index. It's calculated as a percentage of your base rate and can meaningfully increase your total cost. USPS does not charge a fuel surcharge.

How do label refunds work if I void a shipment?

If you purchase a label but don't end up using it, you can void it. How that refund works depends on the carrier.

Why the wait?
As of October 2025, USPS holds all voided label refunds for 14 days to verify the label was never scanned into the mail stream. This applies across all label types.

How it works
UPS is a post-billed carrier — they only charge for labels that are actually scanned and shipped. If a label is never scanned, voiding it removes the pending charge rather than issuing a traditional refund.

How it works
Like UPS, FedEx is post-billed on direct accounts — labels that are never scanned are never charged. On pre-paid platform accounts, credits are typically applied within a few business days.

USPS tip: Because of the 14-day hold, avoid generating USPS labels before a package is ready to ship. Labels created in error now lock up funds for two weeks before the credit is returned.
